Begin with data and ownership
Confirm the employee list, company assignments, calendars and approvers. Name an owner for each setup area and keep a list of unresolved decisions. Do not let an incomplete policy decision become an undocumented software setting simply to finish configuration faster.
Pilot the daily workflow
Use a representative group to test attendance collection, leave requests and corrections. Ask employees to complete common tasks and note where instructions are unclear. Include managers in the pilot because approval bottlenecks often appear only after requests start arriving.
Review the first cycle deliberately
Before the first payroll handoff, reconcile attendance and leave outcomes with the approved source records. Run a focused review of employee-level payroll outputs. After the cycle, publish the working process and resolve the recurring questions discovered during the pilot.
Worked example
A pilot should include an office employee, someone with a different shift and a manager who approves leave. Testing only an administrator account does not demonstrate that everyday users can complete their tasks.
Practical checklist
- Assign owners to setup decisions.
- Pilot with representative employees and managers.
- Review the first cycle before expanding the process.
