Validate a sample before release

Check employee identity, company, period and component totals against the approved register. Include records with adjustments or partial-period inputs in the sample. Ensure the document layout remains readable and that long component labels are not truncated.

Control access to the document

Use the organisation's approved employee access process. Check account mapping and avoid sharing a batch of documents through an unrestricted folder. Confirm what an employee can access after a role or employment-status change under the company's information-handling rules.

Make corrections identifiable

If a payslip needs replacement, retain the reason and connect the corrected document to the revised payroll output. Tell the employee which version is current. A correction workflow should not leave two conflicting documents with no explanation of which one supersedes the other.

Worked example

A batch contains two employees with the same name. Verify delivery using stable employee IDs and account mapping rather than matching document filenames to names alone.

Practical checklist

  • Validate documents against approved payroll.
  • Test employee-to-account mapping.
  • Identify replacements and keep correction evidence.
