Separate planning from approval

Use distinct labels for pending and approved leave. Show the dates and duration needed to plan coverage, including partial days. Managers should verify a request's workflow status before committing to a schedule that depends on the employee being away.

Show only useful team information

A shared calendar generally needs availability, not every detail of an employee's request. Decide which roles can view supporting notes and attachments. Keep sensitive explanations within the appropriate review process rather than displaying them broadly alongside the dates.

Recheck changes before busy periods

Cancelled and shortened leave can change staffing plans. Review the latest approved calendar before allocating shifts or promising project capacity. Establish a way for managers to identify recent changes without manually comparing old screenshots.

Worked example

Two team members request the same Friday off. The calendar can flag the potential coverage gap while both requests are pending; it should not imply that either request has already been approved.

Practical checklist

  • Label request status clearly.
  • Limit shared details to operational needs.
  • Review recent changes before finalising coverage.
