Show the information needed to request leave
Display the leave type, requested dates and relevant balance. Explain how partial days and overlapping requests are handled. An employee should be able to see whether a request is pending or approved rather than guessing from a calendar entry.
Give each stage a clear owner
Route the request to the responsible manager and define an alternate for absences. Avoid approval chains that add people without adding a decision. Record the response and any reason required by policy. A reminder should identify the pending action rather than simply generating another notification.
Handle cancellations as changes
An approved request may later be cancelled or shortened. Update the balance and attendance result through the same controlled workflow. If the payroll input has already closed, flag the change for review instead of allowing the calendar and payroll register to diverge.
Worked example
An employee requests two days, then cancels one after approval. Confirm that the balance is restored for the cancelled day and that the attendance result reflects the revised request.
