Map the work before comparing features

List your employee groups, salary components, attendance sources and approval stages. Identify which tasks require manual spreadsheets today. A company with several locations may need different calendars, while a smaller team may mainly need consistent payslips and a reliable review process. Rank these requirements before viewing demonstrations.

Use a realistic demonstration

Ask a vendor to walk through a new joiner, an employee with unpaid leave and a salary revision. Follow each input through to the payslip. Do not accept a dashboard total as the entire demonstration: reviewers should be able to explain the underlying calculation and locate its source. Use fictional employee records rather than sharing live salary data.

Compare the complete operating cost

Record implementation fees, recurring charges, support arrangements and any limits on companies or employees. Ask how historical data can be exported and what happens when you stop using the service. Compare the effort required to maintain the system as well as the subscription price.

Worked example

For a 40-person team, prepare three sample employees with different attendance outcomes. If finance cannot reconcile their draft payslips without a separate spreadsheet, investigate the missing configuration before buying.

  • Document mandatory workflows and who owns them.
  • Demonstrate exceptions as well as a normal payroll run.
  • Confirm exports, support and migration responsibilities.
