Choose comparable figures

Compare the same company, period scope and employee group. Separate joiners and exits from continuing employees. Otherwise a change in headcount can hide a calculation error or create a misleading percentage movement. Keep gross earnings, deductions and net pay as distinct measures.

Build an explanation bridge

Group changes into approved salary revisions, variable earnings, attendance outcomes and deductions. Review both the total movement and large individual differences. Two errors can offset in the overall total while still producing incorrect employee payments.

Record the review outcome

Mark each significant difference as explained, corrected or awaiting evidence. Retain a short note pointing to the supporting input. Re-run the comparison after corrections and make sure reviewers are signing off the latest version rather than an earlier exported sheet.

Worked example

One employee is overpaid by 2,000 while another is underpaid by 2,000. The total net-pay variance is zero, but employee-level comparison still identifies both issues.
